DEB Quick Start User Guide

DEB Client Download and Quick Start User's Guide

Use this guide to quickly configure your DEB client.


Step 1. Download, install and open the DEB client application


Step 2. Set up your working environment

2.1 Select 'Administration'

Note: Use this procedure to change your own password, or your agent's passwords, as and when required.
  • 2.1.1 Click 'Change Password'.

  • 2.1.2 Enter and confirm your new password (which must contain at least 8 characters), re-enter your existing password and click 'Save new Password'.

2.2 Click 'Change Default Data Export Path'

  • 2.2.1 Use the navigation panel to locate and select a local folder to receive exported account transaction data.

  • 2.2.2 Click 'Save settings'.

2.3 Check or modify your default VAT accounting settings

  • 2.3.1 Select or deselect the 'Use VAT accounting' check-box.
  • 2.3.2 Set the current default VAT rate (enter a decimal number between 0.01 and 100.00).
  • 2.3.3 Set the current default prompt payment discount rate.
  • 2.3.4 Click 'Save settings'.

Step 3 (Optional). Upload your existing trial balance

Note(s): To upload your initial trial balance (3.1), begin by storing your data in the default export folder you selected during Step 2 (2.2).
  • You can access a template here (Opens in a new tab)
  • Note: The columns might not be neatly aligned, depending on your text editor's default font.
    All that matters is that,
    • The line items are separated by commas.
    • Each new entry is on a different line.
    • The total value of DR entries must equal the total value of CR entries.

    Figure 3.1 displays the template file with columns aligned.
  • Change the content to suit your specific business requirements
  • Save your modified text (trial balance data) with a .txt or .csv file extension

3.1 Select 'Forward Balances'

  • 3.1.1 Select the file containing your trial balance (yourLocalFileName.csv). You should see a message indicating that the selected file is valid.

  • 3.1.2 Choose the 'Financial Period Start Date'.
  • 3.1.3 Enter your password.
  • 3.1.4 Click 'Set Ledger'.
  • 3.1.5 Select 'View Accounts' to see your account summary (trial balance).
